A single source of truth for every employee record, document and lifecycle event.
Employee Management is the record every other part of Nexa People reads from. Each person has one profile carrying their identity, contact details, contract terms, reporting line and history, so attendance, payroll, leave and reports all describe the same employee rather than copies that drift apart. Change the record once and everything downstream sees the change.
The profile is shaped around how Pakistani organisations actually keep records. It captures the CNIC number with issuance and expiry dates, the EOBI registration number and entry date, father's name, family code and religion, and bank details with account title, branch code and a bank list your payroll team will recognise — HBL, UBL, MCB, Meezan and the rest. Passport and visa numbers with expiry dates are there for staff who need them, and optional fields stay empty until your organisation decides to use them.
It is also where the employee lifecycle is managed end to end. New joiners come in through a guided five-step form or a spreadsheet import; changes flow through profile, info and transfer requests with configurable approval chains that write back to the record once approved; and when someone leaves, the record is marked In-Active with an exit type and leaving date rather than deleted, so history survives and re-hiring is a lookup, not a re-entry exercise.
HR administrators own the full record, gated by a form-level permission matrix. Employees get a simplified self-service view of the same module where they can submit information updates, resignations and suggestions — each routed through the approval flow your organisation configures.
How Employee Management works
One directory, filtered the way HR searches
The Employee List is a server-paginated directory of everyone in the organisation. Filter by station, department, sub-department, employee group, designation, employee status, a specific employee, user name or CNIC number, and the server returns just the matching page — the list stays quick whether you have forty people or four thousand. Active staff show by default; switch the status filter to see people on leave or the In-Active pool.
Each row is a record card, not a bare line: employee code, punch code, CNIC, user name and login state, station, department, designation, joining date and employment status, plus when the record was added and last modified. Export Data downloads every row matching the current filters as a CSV — code, name, email, station, department, designation, status and joining date — regardless of which page you are viewing.
Adding an employee, step by step
New records are created through a five-step form: General Information, Additional Information, Company Information, Employee Documents and Salary Information. General covers names, father's name, mobile, email, reporting manager and role template. Additional holds the personal record — date and place of birth, marital status, CNIC with issuance and expiry dates, EOBI registration number and entry date, bank account, emergency contact, passport and visa details. Company places the person in the structure: station, department, sub-department, division, grade, employee group, cost centre, region and employment status, with joining, confirmation and contract dates.
Which fields are compulsory is your call. The form validates each step against the mandatory-field settings your organisation configures, with a sensible default set — first name, mobile number, email, reporting manager, gender, CNIC, station, department and employee status — that you can relax or extend per field. The same rules are enforced on the server, so a record can never be saved incomplete by another route.
Bring existing data in from a spreadsheet
Upload Excel accepts a .csv or .xlsx file — either the downloadable Nexa template or a full export from your previous HR system — and creates a record per row. The import maps dozens of columns, from names and CNIC to EOBI details, bank fields and contract dates, and it resolves structure as it goes: stations, departments and designations that do not exist yet are created on the fly, and reporting lines are wired up by employee code. A result dialog reports how many rows imported and lists exactly which rows were skipped and why.
Once records exist, Send Credentials provisions self-service logins in bulk: tick the employees, and the system generates a password for each, creates the login and emails it where outgoing email is configured — with a results table you can share otherwise.
Changes go through requests and approvals
Day-to-day changes are requests, not silent edits. The module includes Employee Profile Requests and Employee Info Requests (a tabbed form mirroring the profile), Employee Transfers that show old and new values side by side before anything moves, Resignation requests with reason and date, Suggestions and Delegation requests. Each request type has its own configurable workflow: auto-approved, or multi-level with up to five levels, where each level's approver is a specific employee or a role resolved relative to the requester — their reporting-line manager, a manager two, three or four layers up the reporting chain, or their department head. Station-level roles such as station head, station HR manager and station accounts manager can be chosen as options too; those are not resolved to a specific person, so a level configured that way falls back to any approver with the right permission.
When a request is approved, the change is applied to the employee record automatically — a transfer updates station, department and reporting manager; an approved info request writes the changed fields back to the profile. You can even set per-field rules, choosing which profile fields employees may edit directly and which require approval first. The Employee Approvals queue gathers pending requests of every kind in one filterable list.
Leaving, blacklisting and coming back
There is deliberately no delete button on the directory. When someone leaves, the InActive action records an inactive type, exit type and leaving date, disables their login and moves them to the In-Active pool — the record and its history stay intact. A separate blacklist flag can be set or removed on any record.
Re-Hire reverses the journey: search the In-Active pool by CNIC number, pick the person from the filtered list, and their existing record returns to service with everything it already knew about them.
Roles, permissions and module settings
Employee Role manages access as a per-form permission matrix — every module, form and action (add, update, view, delete) is an individual toggle. Assign permissions per employee, copy one employee's role to another, or maintain named role templates; defaults such as Employee Self-Service, HR Manager and System Admin ship out of the box, and the server enforces the same keys on every API call.
Employee Settings holds the module's configuration in four tabs: approval workflows per request type, per-field info-approval rules, mandatory-field settings and suggestion categories — including whether a category accepts anonymous submissions.

Server-side search and filtering
The directory is paginated and filtered on the server across nine fields, including CNIC and employee status. Pages of 10, 25 or 50 records return quickly at any headcount, and the CSV export always covers every row matching the filters, not just the visible page.
Spreadsheet import that builds structure
Import .csv or .xlsx files using the provided templates or an export from your old system. Missing stations, departments and designations are created automatically, reporting lines are matched by employee code, and a per-row error report tells you exactly what was skipped.
Configurable mandatory fields
Decide per field what a valid employee record requires, tab by tab. The five-step form flags gaps before you can move on, and the server enforces the same rules on create and update, so nothing incomplete slips through another door.
Approval chains that write back
Profile, info, transfer, resignation, suggestion and delegation requests each get their own workflow — auto-approved or up to five levels, with approvers picked as named people or roles resolved relative to the requester. Approved changes are applied to the record automatically.
Employee self-service
Employees sign in to a simplified view of the same module where they submit information updates, resignations and suggestions, and track each request's status and approvals. Logins can be provisioned one by one or in bulk, and HR can reset a password from the directory at any time.
Suggestions with follow-through
Suggestion categories are configurable, including anonymous submission where the sender's identity never leaves the server. An analytics view shows totals, approval rate and top contributors, and each accepted suggestion carries an implementation status from Not Started through to Implemented.
Bulk department amendment
For reorganisations, Amend Employee Dept lists staff with filters, lets you tick rows and apply the same new department to all of them in one save — no opening records one at a time.
Lifecycle without data loss
In-Active replaces delete: exit type and leaving date are recorded, the login is disabled and history is kept. Re-Hire finds former staff by CNIC and restores the original record, and a blacklist flag is available where policy requires it.

Works with the rest of Nexa People
Every attendance, payroll and leave record in Nexa People is keyed to an employee record from this module. Attendance reads the punch code, assigned shift and the per-employee manual and dashboard attendance allowances straight off the profile; payroll builds each person's salary setup on the same record, with salary line items markable for provident fund and VPS treatment and requests such as PF withdrawal flowing through the shared approval engine.
Leave uses the profile's auto-assign settings to hand new joiners their leave quotas, and leave requests resolve their approvers from the reporting line stored here. Reports filters by the department, designation, station and status on the record — including an Employee Exit Report over the In-Active pool — while performance, training and separation all pick their people from the same directory.
The structure itself comes from the Organization module: departments, sub-departments, designations, stations and employee groups defined there populate every dropdown and filter in Employee Management, so the org chart and the employee record can never disagree.
Frequently asked questions
What information does an employee record hold?
Identity and contact details, father's name, CNIC number with issuance and expiry dates, EOBI registration number and entry date, bank account details, emergency contacts, passport and visa information, plus placement fields — station, department, sub-department, division, grade, employee group, designation, reporting manager — and contract data such as employment type, joining, confirmation and contract dates. Child records hold bank accounts, emergency contacts, work experience, education, skills and certificates, and training.
Can we import employees from a spreadsheet or another system?
Yes. Upload a .csv or .xlsx file using the downloadable template, or a full export from your previous HR system — the import recognises both column layouts. It creates any missing stations, departments and designations as it goes, links reporting managers by employee code, and can provision logins during the import. You get a row-by-row result showing anything that was skipped and why.
Do employees get access, and what can they see?
Each employee can be given a self-service login — individually or in bulk with Send Credentials. They see a simplified view of the Employee module where they submit information updates, resignation requests and suggestions and follow each request's approval status. What anyone can see or do is controlled by the role and permission matrix, and the Employee Self-Service template ships as a sensible default.
How are changes to an employee's record controlled?
Through requests and approvals. What happens when an employee leaves — and comes back?
Records are never deleted. Marking someone In-Active records the inactive type, exit type and leaving date, disables their login and moves them to the In-Active pool, with their full history intact. If they return, Re-Hire searches that pool by CNIC number and restores the original record, so nothing is re-entered.
Can we choose which fields are mandatory?
Yes. Employee Settings includes a per-field mandatory grid organised by profile tab. A default set — first name, mobile number, email, reporting manager, gender, CNIC, station, department and employee status — applies until you change it, and you can relax or extend it field by field. The rules are enforced in the form and again on the server.
How do roles and permissions work?
Access is a matrix of module, form and action — every add, update, view and delete on every form is an individual permission key, enforced on both the interface and the API. You can set permissions per employee, copy one person's role to another, or maintain named templates; Employee Self-Service, HR Manager and System Admin are among the defaults provided.
