Nexa People

This page summarises every module in Nexa People — what it is, who uses it, and the features it covers — grouped the way the application's own menu is grouped. It is deliberately brief: one entry per module, and menu names here reflect the current application. 1. Getting Started & Access

  • Signing In & the DashboardThe login screen is the entry point to Nexa People. After successful authentication, each user lands on a personalized dashboard whose content depends on their role. Used by: Every user — employees, HR staff, managers, org owners, and the platform super admin — signs in through the same login screen. Includes: Signing In, The Home Dashboard.
  • Roles, Users & PermissionsNexa People controls what each person can see and do through a combination of a role tier (a broad access category) and a Role Template (a fine-grained permission matrix that can be customised per organisation). The two layers work together: the role tier gates entire sections of the app, while the template controls individual forms and actions within those sections. Used by: Org owners and admins manage users and assign Role Templates. Includes: Role Tiers, Role Templates, Managing Org Users.
  • Employee Portal vs HR ViewNexa People shows different navigation and page content depending on whether the signed-in user is an employee or an HR-tier user. Both roles use the same application URL; the role tier and permission template determine what is rendered. Used by: All users — this is an automatic behaviour, not a setting you configure. Includes: What Employees See, What HR / Admins See, How Extra HR Access Can Be Granted to an Employee.
  • Organizations & Multi-TenancyNexa People is a multi-tenant platform. Each organisation's data is completely isolated from every other — employees, settings, payroll, attendance records, and all other data belong to one organisation and are never visible to another, even if they share the same Nexa People instance. Used by: Organisation owners and the platform super admin interact with these features.   • NotificationsNexa People's notification system alerts users when something needs their attention — an Employee Portal request is waiting for approval, a request they submitted has been approved or rejected, or a holiday has been added to the calendar. Used by: All roles receive notifications relevant to them. Includes: The Notification Bell, The Notifications Page, How Notifications Are Created.
  • Approvals WorkflowMany actions in Nexa People follow an approval workflow: an employee submits a request, the request is routed to an approver, and the approver accepts or rejects it. This pattern applies across Attendance (amendments, remote work, shift changes, worksheets), Leave, and Payroll (advance salary, overtime, loans, and other salary requests), as well as Employee-module requests (info requests, resignations, suggestions). Used by: Employees submit requests; HR managers, admins, and designated approvers act on them. Includes: How an Employee Portal Request Is Submitted, How HR / Approvers Act on Requests, Approval Routing Configuration.

2. People

  • EmployeesEmployees log in and see a simplified three-item left rail under Employees. They can submit three types of requests without HR involvement. Used by: Employees only. Includes: Adding a New Employee, Editing an Employee Record, The Employee List, Managing Employee Roles and Permissions, Employee Self-Service (for Employees), Bulk Department Assignment (Amend Employee Dept).
  • OrganizationThe master configuration page for your organization. It contains seven tabs covering system behavior, company identity, custom fields, biometric device tokens, document storage limits, card templates, and email domain settings. Used by: Owners and Admins only. Includes: Departments, Announcements, Polls, Gazetted Holidays, Projects, Tasks, Constants (Master Data), Geo-Location Settings, Month Close, Day Close, System Logs, Organization Settings.
  • SeparationConfiguration options for the separation workflow, organized into four sub-tabs. Used by: HR / Admin. Includes: Employee Exit, Final Settlement (FNF), Employee Clearance, Exit Interview, E. Separation Approvals, E. Separation Settings.

3. Hiring & Growth

  • RecruitmentThe Recruitment module manages the full end-to-end hiring process — from raising a job requisition and posting an open position through to screening, interviewing, evaluating, and hiring a candidate. Used by: HR Administrators manage the entire pipeline. Includes: Recruitment Dashboard, Job Request (Requisition), Job Post, Job Candidate, Screening, Short List, Schedule Interview, Evaluation, Hiring Approvals, Questionnaire Category, Skill Set, Recruitment Settings.
  • PerformanceThe Performance module provides tools for running structured appraisal cycles, recording individual performance reviews, and maintaining KPI and competency references for your organization. Used by: HR Administrators manage appraisal cycles and configure the module. Includes: Appraisals, Appraisal Cycles, KPIs, Competencies, Performance Settings.
  • OnboardingThe Onboarding module provides a structured task list to guide a new hire through their first days in the organization — from document collection to system access and orientation steps. Used by: HR Administrators create and manage onboarding tasks. Includes: Tasks, Checklists, Documents, Onboarding Settings.
  • TrainingThe Training module lets HR define training programs, track sessions, manage trainers, enroll employees, and collect feedback — giving the organization a central register of all training activity. Used by: HR Administrators manage programs, sessions, and enrollments. Includes: Programs, Enrollments, Sessions, Trainers, Feedback, Training Settings.

4. Time & Attendance

  • AttendanceNexa People connects to physical biometric punch devices (fingerprint / card readers) to receive attendance data automatically. Devices are registered and managed from Dashboard → Biometric. Used by: HR / Admin. Includes: How Attendance Is Captured, Employee Portal Attendance, HR Attendance Rail, Attendance Dashboard, Biometric Device Management.
  • LeaveWork From Home (also labelled Remote Work) lets employees request approval to work from a location outside the office for a specified period. Used by: Employees submit requests from their Employee Portal Attendance view. Includes: Employee Leave Request (Employee Portal), HR Leave Rail, Work From Home (Remote Work).

5. Payroll & Money

  • PayrollEmployees have a dedicated Payroll self-service page where they can submit payroll-related requests and view the status of their submissions. Used by: Employees (non-HR). Includes: Payroll Setup, Salary Setup, Process Payroll, How Payroll Is Calculated, Auto-Deductions, Payroll Approvals and Payslip Approvals, Payroll Request Tabs (HR Side), Payroll Settings, Employee Self-Service — Payroll Requests.
  • Expense and ClaimsThe Expense module provides a simple workflow for logging employee expense claims and moving them through approval to reimbursement. Used by: HR Administrators create and action claims on behalf of employees. Includes: Submitting an Expense Claim, Approving and Reimbursing.
  • Piece WorkThe Piece Work module records piece-rate pay entries where an employee is paid based on the quantity of a task or item they complete at a fixed rate per unit. Used by: HR Administrators create entries and act on them. Includes: Logging a Piece-Work Entry, Approving and Paying.
  • LettersThe Letters module is a framework for issuing HR letters and documents to employees (for example, experience letters, offer letters, or salary certificates). It provides three sections: Issued Letters, Templates, and Settings. Used by: HR Administrators.

6. Reports & Automation

  • ReportsThe Reports module lets you generate tabular data reports across five areas of the system — HR, Attendance, Leave, Payroll, and Employee Separation — and export or print those results. Used by: HR Managers and Administrators use the full HR view at /dashboard/reports. Includes: Generating a Report, Report Categories and Available Reports, Viewing and Exporting Results, Employee Self-Service Reports View.
  • Scheduled ReportScheduled Report lets administrators configure reports to be delivered automatically on a recurring schedule. Used by: HR Administrators and System Administrators. Includes: Managing Report Schedules.
  • Scheduled AlertsScheduled Alerts lets administrators define automated alert conditions that the system evaluates on a schedule and fires as in-system notifications when triggered. Used by: HR Administrators and System Administrators. Includes: Managing Alerts.
  • IntegrationsIntegrations is the module for managing connections to external systems, outbound webhooks, and API keys. A key is generated by Nexa People, shown once, and gives a third-party tool scoped access to this organisation’s data — sent as an X-API-Key header, enforced on every request, and revocable at any time. Used by: System Administrators. Includes: Connections, Webhooks, API Keys, Integrations Settings.
  • Email ManagementEmail Management lets administrators define email templates and review the log of emails sent by the system. Used by: HR Administrators and System Administrators. Includes: Email Templates, Email Log, Email Settings.

7. Workspace & Administration

  • Help DeskHelp Desk lets employees raise internal support tickets and allows HR or the relevant team to track and resolve them. It is organized into four sections: Tickets, Categories, Knowledge Base, and Settings. Used by: Employees raise tickets from any role. Includes: Raising a Support Ticket, Managing Ticket Status, Managing Ticket Categories, Knowledge Base.
  • Man Power BudgetingMan Power Budgeting provides a simple headcount-planning register. HR records the budgeted versus current headcount per position and department, then raises requisitions when a gap needs to be filled. Used by: HR managers and administrators who own workforce planning. Includes: Creating a Budget Line, Raising a Requisition.
  • Employee TravellingEmployee Travelling manages business travel requests with a lightweight approval workflow. A request moves from Pending through Approved to Completed (or Rejected). Used by: Employees or HR staff submit travel requests. Includes: Submitting a Travel Request, Approving or Rejecting a Travel Request, Logging Travel Expenses.
  • Desk ManagementDesk Management is a workspace allocation register. HR or facilities staff record desk inventory (with location and assignment) and log bookings when employees need a desk for a period. Used by: Facilities managers or HR administrators maintain the desk list. Includes: Managing the Desk Inventory, Recording a Desk Booking.
  • SettingsSettings is the organization-wide configuration area where administrators control system behavior, company information, custom fields, biometric devices, document storage, and email configuration. All settings are saved to a central configuration store and take effect immediately without restarting the application. Used by: System administrators and organization owners only. Includes: System Configuration, Company Settings, Custom Fields, Biometric Device Settings, Document Management, Card Template, Email Domain Setting.
