Reports & Analytics turns the records the rest of Nexa People keeps into tables you can filter, view, print and export. The catalogue holds one hundred report types across five categories — HR, Attendance, Leave, Payroll and E.Separation — generated live from operational data, so what a report shows reflects the records as they stand when you run it.

Running a report is one form. Pick the report from the sidebar, narrow it by station, department, employee group, status, cost centre, shift or named employees, choose a date range, and generate. The result opens in a viewer that states the organisation, the report title, the period, who printed it and how many rows it holds — then gives you print, PDF, Excel, CSV and email in one row of buttons.

Reporting is not only tables. HR and managers get a single-scroll dashboard covering attendance, payroll, workforce composition, trends and the org chart, with each section opening into a full detailed view. Any report from the catalogue can also be pinned to the dashboard as a live bar chart, pie chart or table over a rolling date range, and your selection of widgets is saved to your account.

Access is controlled down to the individual report. Each title in the catalogue carries its own view permission, enforced on the server on every request, so unticking one report hides exactly that report and nothing else. Employees get a self-service report view, and whatever they run, the server restricts the rows to their own record.

How Reports & Analytics works

A catalogue of one hundred reports

The sidebar groups the catalogue into five categories. HR Reports (nineteen of them) cover the directory and its life events — Employee List, Employee Profile, Department Header Count, Employee Matrix and resignations among them. Attendance Reports (twenty-nine) run from Attendance Detail, Summary and Register through Late Comers, Early Leavers, Absent Employees, Missing Attendance, break logs, shift history and worksheets. Leave Reports include balances, quotas, ledgers, requests and a month-by-month leave trend table.

Payroll is the deepest shelf, with forty-three reports: salary sheets, payslips, payroll summary and comparison, allowances, deductions, bonuses, overtime, increments, advance salary and reimbursements, alongside titles a Pakistani payroll team will recognise — EOBI, PESSI and SESSI reports, FBR tax and tax certificate reports, gratuity, loan and provident fund ledgers. E.Separation adds the Employee Exit, Exit Interview and Final Settlement reports, each with its own purpose-built filter form.

Filter, then generate

Every report shares a common filter set drawn live from your organisation's structure: station, department, sub-department, employee group, division, employee status, cost centre and shift, plus pickers for specific employees and for in-active employees. Dates come as a From–To range with duration presets — today, this week, this month, last month — resolved in the organisation's configured timezone, so a Karachi payroll office and a remote manager see the same day boundaries.

Attendance reports go further. Detail-family reports carry an Additional Report Fields checklist where the boxes you tick become the output columns — schedule date and time, actual time, worked hours, late in, early out, overtime, remarks — and summary reports offer over thirty metrics from total presents and absents to break time, sandwich counts and remote-work days. Per-report toggles add grouping by department or station, present-only rows, a report summary, or absent-and-missing-only views.

The three E.Separation reports render their own forms, mirrored from the settlement workflow: month and year ranges, settlement status, payroll setup and payslip period selectors, and a Final Settlement field checklist from CNIC and gross salary through to total period of service.

One viewer, five ways out

Generated reports open in a viewer that always identifies itself: organisation name, report title, reporting period, payroll periods where relevant, who printed it, when, and the row count. From there one toolbar covers Print, Save PDF through the browser's print dialogue, Excel (.xlsx), CSV and an email summary that opens your mail client pre-filled with the report's title, period and row count. Export buttons only enable when the report actually has rows, so nobody circulates an empty file by accident.

Printed and PDF output is a properly branded document, not a screenshot: the company logo and name from Company Settings sit in the header above the organisation, title, period and printed-by line, with a numbered, striped table beneath. Printing runs through a hidden same-origin frame, so pop-up blockers never eat the print dialogue.

Dashboards for HR and managers

The management dashboard is a single scrolling page with a sticky jump-rail, and each section opens into a full view. Attendance shows today's headcounts, a live in/out activity feed, available employees, missing and absent entries with an email-reminder action, a station-by-department present matrix and biometric devices. Payroll charts yearly and monthly paid-salary totals, a component-wise breakdown and department-, designation- and station-wise distributions, scoped by year, month, station or department.

The Workforce view breaks headcount down by station, department, designation, gender, employment type, age band, status and joinings per year; the Organogram draws the reporting hierarchy as a browsable tree; and Insights charts time-series trends and top breakdowns across employees, attendance, leave and payroll.

Pin any report as a live widget

The Reports tab of the dashboard lets you build your own analytics board. Pick any report from the catalogue, choose a rolling range — this month, last month, last three months or this year — and a presentation: bar chart, pie chart or table. The widget detects the report's numeric columns automatically and lets you switch which metric it charts; edit, refresh or remove it in place.

The widget board is stored against your account, not the browser, so it follows you between machines, and each widget re-queries the live report data as you work.

Permission-gated, report by report

Every title in the catalogue is a form in the Reports permission module, so access is granted or withdrawn one report at a time — unchecking Salary Sheet Report for a role hides that report from the sidebar and the server refuses to generate it, while every other report is untouched. The shipped role templates start sensibly: HR managers get the full catalogue, and the employee template grants report views so self-service works out of the box.

Data scope is enforced separately from access. When an employee-tier user generates any report, the server discards whatever filters were sent and pins the result to their own employee record — self-service can never become a window into a colleague's salary or attendance.

Computed gratuity, loan and provident fund ledgers

Gratuity balance and ledger reports compute each employee's entitlement from monthly basic and completed service, honouring your separation policy settings. Provident fund reports accrue at your configured contribution rate with an equal employer match and per-employee opening balances; loan reports read the loan-request records themselves.

Print-ready, branded output

Every printed or PDF report carries your company logo and name from Company Settings above the organisation, title, period, printed-by line and row count, followed by a numbered table. Printing uses a pop-up-proof route, so Save as PDF always works.

Excel, CSV and email in one toolbar

Download any generated report as .xlsx or CSV, or open a pre-filled email summarising the report's title, period and row count. Export buttons stay disabled until a report has rows, so empty files never circulate.

Live report widgets on the dashboard

Pin any catalogue report to your dashboard as a bar chart, pie chart or table over this month, last month, the last three months or this year. Numeric columns are detected automatically, the charted metric is switchable, and the board is saved to your account.

Dashboards across the whole operation

A single-scroll management dashboard spans attendance, payroll, workforce, trends and the org chart — from a live in/out feed and a station-by-department present matrix to component-wise salary breakdowns and headcount by gender, age and joining year.

Per-report permissions and self-scoped self-service

Each report title is its own view permission, enforced on the interface and again on the server. Employees get a self-service report view across HR, attendance, leave and payroll categories, and the server restricts every result they generate to their own record.

Works with the rest of Nexa People

Reports & Analytics writes almost nothing of its own — it reads everything the other modules keep. HR reports run over the employee directory and its resignation records; attendance reports read punch records, shifts, manual entries and exemption, attendance and worksheet requests; leave reports draw balances, quotas and ledgers from the Leave module; payroll reports read processed payroll records, salary setups and the advance-salary, loan, reimbursement and overtime requests that flow through the shared approval engine; and the E.Separation reports read exits, interviews and final settlements straight from the Separation workflow.

The filter forms are wired to the Organization module: stations, departments, sub-departments, employee groups, divisions, cost centres and shifts defined there populate every dropdown, and the Final Settlement report lists the payroll setups configured in Payroll. Access itself comes from Employee Management's role and permission matrix, where each report title appears as an individual form.

The surrounding platform settings shape the output too: printed and PDF reports carry the logo and company name from Company Settings, all report dates and duration presets resolve in the organisation timezone configured there, and your dashboard's report widgets are stored in your user preferences, alongside the rest of your account.

Can we control who runs which report?

Yes, one report at a time. Every title in the catalogue is an individual view permission in the role matrix — remove one and that report disappears from the sidebar while the server refuses to generate it, leaving the other ninety-nine untouched. The shipped HR, management and employee role templates give you a working starting point to trim.

What do employees see in self-service?

Employees get their own report view spanning HR, attendance, leave and payroll categories, with the same filters, field checklists and export toolbar. Whatever filters are submitted, the server pins the result to the employee's own record — self-service can show someone their own attendance summary or payslips, never a colleague's.

Can reports appear on the dashboard as charts?

Yes. Any report from the catalogue can be pinned to the management dashboard as a live bar chart, pie chart or table over this month, last month, the last three months or this year. The widget auto-detects numeric columns, lets you switch the charted metric, and your whole widget board is saved to your account rather than the browser.

Where do the gratuity and provident fund figures come from?

They are computed from your own configuration, not entered by hand. Gratuity reports multiply each employee's monthly basic by completed years of service, honouring the gratuity policy and minimum-service setting in your separation configuration — the same basis the final settlement uses. Provident fund reports accrue monthly basic at your configured contribution rate with an equal employer match, seeded by any per-employee opening balances recorded in payroll settings.

What filters can we apply before generating?

Station, department, sub-department, employee group, division, employee status, cost centre, shift, and specific active or in-active employees, plus a date range with duration presets resolved in your organisation's timezone. Attendance reports add column checklists and grouping toggles; the separation reports add month-year ranges, settlement status and payroll-setup filters.

Do report numbers match what the modules show?

Yes, because there is nothing to reconcile: reports are generated on demand from the same records the attendance, leave, payroll, employee and separation modules maintain. There is no copied reporting database and no overnight sync — the moment a record changes in a module, the next report run reflects it.
