01Rotas and clock-ins

Rotas that match service, from breakfast to close

Set up breakfast, lunch, dinner and late shifts with their own grace minutes, breaks and sign-in windows, then assign a month of shifts to each outlet in bulk or upload the rota from a spreadsheet. Staff clock in on a biometric terminal at the back door or from the mobile app, checked against the outlet's location or network, and each day is judged against their own shift.

  • Shifts with breaks, grace minutes and overnight hours
  • Mobile clock-in limited to an outlet's geo-fence, network or a registered device
  • Shift and shift-transfer requests approved before the rota changes

02Hourly pay and overtime

Hourly and weekly pay, worked out from the hours on the floor

Hospitality pays in more ways than one. Nexa People pays a monthly salary, a daily wage or an hourly rate, on monthly, weekly, bi-weekly or twice-a-month schedules, with a separate payroll setup for each group. Overtime is paid only once it is approved, joiners and leavers are pro-rated automatically, and every payslip shows its working line by line.

  • Monthly, daily and hourly salary types in the same organisation
  • Weekly, bi-weekly, twice-a-month and monthly pay schedules
  • Overtime paid only from approved requests, at your rate per category

03Hiring and onboarding

Hire for the season without losing a week to interviews

Turnover is part of hospitality, so hiring has to be quick and tidy. Post the vacancy, track walk-ins, referrals and agencies, and add Nexa Recruiter to screen applicants and run first-round AI interviews by voice or text, in the candidate's own language, whenever suits them. Hired candidates become employee records with an onboarding board, and returning seasonal staff are re-hired with their history intact.

Every day

The rest of hospitality HR, in the same place

Leave, exits, staff questions and multi-outlet reporting all read the same employee record.

01

Leave around the busy season

Annual, sick and unpaid leave each follow their own notice and eligibility rules, with half and quarter days. Requests over the balance are blocked, and approved days show as On Leave on the rota.

02

Clean exits and final pay

Record a leaver once and clearance and the exit interview queue themselves. The final settlement is worked out from live salary, leave balances and loans, and the login is disabled after it runs.

03

Onboarding before the first service

Every new starter gets tasks with an owner and a due date, from uniform and locker to a login, and documents move from pending to verified before payroll needs them.

04

Every outlet in one report

Filter attendance, leave and payroll reports by station, department and shift, export to PDF, Excel or CSV, or have the weekly attendance summary emailed to each general manager.

How it runs

How a pay period runs in a restaurant group or hotel

From the rota to the payslip, nobody re-keys a timesheet.

  1. 1

    Before the week

    Rotas go out

Each outlet's shifts are assigned in bulk or uploaded from a spreadsheet, with weekly off days set per person or group.

  2. 2

    Every service

    Staff clock in and out

Punches come from biometric terminals or the mobile app, and each day is judged against that person's own shift: present, late, short or absent.

  3. 3

    During the period

Fix gaps and approve extra hours

Missed punches, shift transfers and overtime move through your approval chain, and approved changes update attendance on their own.

  4. 4

    Period end

    Close attendance

HR closes the period and payroll reads approved hours, leave and attendance flags directly, applying your deduction and overtime rules.

  5. 5

    Pay day

    Review, approve and pay

Payslips are built for every employee on that schedule, checked line by line and moved from Draft to Processed to Paid. Staff download payslips from the app.

In depth

How HR software helps restaurants and hotels

Hospitality HR is built around service. A restaurant needs a full kitchen and floor for Friday dinner, a hotel needs reception, housekeeping and a night porter around the clock, and a caterer needs a different team for every event. Most of that workforce is hourly, many people work across outlets, and the rota changes every week. When rotas live in group chats and hours are copied from paper sign-in sheets, payroll inherits every gap. Nexa People starts from the shift: each person has a rota, each clock-in is judged against it, and payroll reads the result directly.

Clocking in has to be fast at the back door and reliable away from it. Nexa People connects to fingerprint and face terminals from ZKTeco, Suprema, eSSL, Hikvision and others, with templates kept on the device. Event staff and anyone without a terminal can clock in from the mobile app, limited to an outlet's geo-fence, an approved network or a registered device where you require it, with a selfie check if you want one. Location is only read at the moment of the punch, and punches made without signal are stored and sent when the phone reconnects.

Paying a hospitality team correctly means handling many pay types at once. Nexa People pays a monthly salary, a daily wage or an hourly rate, with weekly, bi-weekly, twice-a-month or monthly pay schedules, and keeps each group on its own named payroll setup. Overtime is paid only from approved requests at the rate you set for each category, compensatory leave can be earned for holiday work, and new starters and leavers are pro-rated automatically. Loans and advances are paid out and recovered on the payslip, and every line is itemised so staff can see how their pay was reached.

Turnover is the other constant. Nexa People takes a vacancy from approved requisition to offer, tracks where each candidate came from, including walk-ins and referrals, and moves hired candidates straight into an employee record. Nexa Recruiter adds AI screening and first-round interviews by voice or text, in the candidate's own language, so managers in the middle of service are not stuck on the phone. Onboarding boards make sure each starter has their tasks and documents done, and when someone leaves, the final settlement is calculated from live data. Seasonal staff who come back are re-hired with their original record.

For a group with several outlets, the value is seeing everything in one place. Each restaurant or hotel is a station with its own departments and shifts, and reports can be filtered by station, department, shift and cost centre, then exported or emailed on a schedule to each general manager. A help desk gives staff one place to ask about pay, rotas or leave. Nexa, the built-in AI agent, can tell you who has missing punches this week or prepare the pending leave approvals for you to confirm.

HR software for hospitality & restaurants: your questions

Anything else? Talk to our team.

Nexa People is an HR and payroll platform for shift-based teams like restaurants and restaurant groups. It handles rotas, biometric and mobile clock-ins, leave, approved overtime, hourly and weekly pay, hiring, onboarding and exits from one employee record, so the hours worked on the floor are the hours paid on the payslip.

In Nexa People, managers create shifts such as breakfast, lunch and dinner with their own times, breaks and grace minutes, then assign a month of shifts to an outlet in bulk or upload the rota from a spreadsheet. Weekly off days are set per person or group, and shift-transfer requests are approved before the rota changes.

Yes. The Nexa People mobile app lets staff clock in and out, limited to an outlet's geo-fence, an approved network or a registered device where you require it, with an optional selfie check. Location is checked only at the moment of the punch, and punches made without signal are saved and sent later.

Yes. Nexa People supports weekly, bi-weekly, twice-a-month, bi-monthly and monthly pay schedules, and staff can be paid an hourly rate, a daily wage or a monthly salary. Different groups can run on different payroll setups, so kitchen, floor and management teams can each follow their own rules in the same organisation.

In Nexa People, overtime is paid only from approved overtime requests, at the rate you set for each category. Lates and early exits are judged against each person's own shift, approved leave and holidays are excluded first, and compensatory leave can be earned for holiday work instead of extra pay where your policy allows.

Nexa People runs hiring from approved requisition to offer and tracks candidates from walk-ins, referrals, agencies and your career portal. Nexa Recruiter adds AI screening and first-round AI interviews by voice or text, in the candidate's own language, at any time that suits them. Your managers review the transcript and score, and they make the decision.

Yes. Nexa People keeps each outlet as its own station with departments, shifts and rosters, and every report can be filtered by station, department, shift and cost centre. Biometric terminals at each site push punches to the same platform, and scheduled reports can email each general manager their own numbers.

Nexa People never deletes a leaver's record. When someone leaves, they are marked inactive with their exit type and date, and their login is disabled. When they return for the next season, re-hire restores their original record with its full history, so HR does not start again from scratch.

Nexa People records the exit once, queues clearance and the exit interview, and works out an itemised final settlement from live data: earned salary pro-rated to the leaving date, leave encashment, any held salary and recovery of outstanding loans or advances. You preview every line before the settlement is saved.
