HR for logistics and warehousing

HR and payroll software for warehouses, depots and drivers

Nexa People records attendance for pickers at the dock door and drivers on the road, judged against shifts that run through the night. Overtime, trip costs and leave flow into one payroll, so every depot closes the month the same way.

01Shifts around the clock

Night shifts and early starts, counted the way they're worked

Warehouses rarely stop. Build day, swing and night shifts with their own grace minutes, breaks and sign-in windows, and roll out a monthly roster to a whole depot at once. Shifts that cross midnight are counted as one working day, so a 22:00 to 06:00 shift is never split into two half days. Each shift carries its own rules for late, early, short-day, half-day and absent.

  • Overnight shifts counted as a single working day
  • Monthly rosters in bulk or uploaded from a spreadsheet
  • Shift and shift-transfer requests with approval

02Drivers and field staff

Check-ins from the cab, even without signal

Drivers and couriers check in and out from the Nexa People mobile app. You decide which checks apply to each person: a location inside the depot's geo-fence, a selfie, an approved network or a registered device. Location is checked only at the moment of the punch, never in the background. Punches made in a dead zone are stored on the phone and sent once it reconnects.

03Trips and costs

Overnight trips, advances and road costs on the record

Long-haul runs and trips between depots can be requested with destination, purpose, dates and estimated cost, then approved before anyone sets off. Travel advances and per-diem rules apply where your policy allows them. Fuel, tolls and meals are claimed against your own expense categories with per-claim limits and receipt rules, and approved reimbursements can be paid on the next payslip.

Every day

The rest of depot HR, in the same place

Everything that sits around shifts and pay for warehouse teams, drivers and office staff.

01

Biometric terminals at every dock

Connect ZKTeco, Suprema, eSSL, Hikvision and other terminals. Punches flow in as they happen, devices sync on a timer, and fingerprint and face templates stay on the device.

02

Documents that don't expire unnoticed

Keep licences and certificates on each employee's record under your own document types, and get alerts thirty days before ID cards, passports and visas expire.

03

Overtime paid only once approved

Peak-season overtime is raised as a request and paid at your rate per category once it's approved. Compensatory leave can be given for overtime and holiday work instead.

04

Exits and final settlements

Record the exit once, queue clearance for uniforms, scanners and keys, and calculate an itemised final settlement from live salary, leave and loan data before you save it.

How it runs

How a pay period runs across your depots

From the first night shift of the month to payslips on every driver's phone.

  1. 1

    Every shift

Punches arrive from docks and cabs

Terminals and the mobile app send punches, including those stored offline. Each day is judged against the person's shift, with overnight shifts counted as one day.

  2. 2

    End of week

    Shift leads clear requests

Missed punches, shift transfers and remote-work requests are approved through your chain, so the records stay current through the busiest weeks.

  3. 3

    Day 25

    Overtime and road costs settled

Overtime requests are approved or rejected, trips are closed out, and expense claims are approved so reimbursements can go on the payslip.

  4. 4

    Payday

    One payroll for every depot

Payroll builds a draft payslip from attendance, leave, approved overtime and reimbursements. Finance reviews, holds anything doubtful and marks the run paid.

  5. 5

    After payroll

    Journals and reports go out

The payroll journal is mapped to your cost centres for SAP, and attendance and payroll reports are emailed to depot managers as CSV files on a schedule.

In depth

How HR software helps logistics and warehousing companies

Logistics HR has two very different workforces to look after. In the warehouse, pickers, packers and forklift operators work fixed shifts that often run through the night. On the road, drivers and couriers start at the depot, spend the day out of sight and sometimes stay away overnight. Both groups need accurate attendance and correct pay, and both are hard to see from an office. Nexa People records both in one daily attendance record, with the same rules for lateness, overtime and absence wherever someone works.

Night work is where spreadsheets usually break. A shift that starts at 22:00 and ends at 06:00 belongs to one working day, but a simple clock-in report splits it in two. Nexa People counts overnight shifts as a single working day and judges each one against its own grace minutes, breaks and rules. Rosters for a whole depot can be assigned for the month in one go or uploaded from a spreadsheet, and swing-shift workers can request a shift transfer that goes through approval before the roster changes.

Drivers can't punch a terminal on the warehouse wall when they're two hours away. The Nexa People mobile app lets them check in and out, with the checks you choose for each person: a geo-fence around the depot, a selfie, an approved network or a registered device. Location is checked only at the moment of the punch. Rural routes and loading bays often have no signal, so punches made offline are stored on the phone and sent when it reconnects, rather than lost.

Road work brings costs that need a paper trail. In Nexa People, trips can be requested with destination, purpose, dates and estimated cost, and approved before the driver leaves. Travel advances and per-diem rules apply where your policy allows. Tolls, parking, meals and overnight stays are claimed against your own categories, each with a per-claim limit and a receipt rule, and approved reimbursements can be paid on the next payslip, so drivers aren't waiting for a separate transfer.

Operations and finance need to see each depot without waiting for HR. Nexa People has 100 live reports across HR, attendance, leave and payroll, filtered by station, department, shift and cost centre, and a dashboard with a live in-and-out feed. Payroll journals can be mapped to your GL accounts and cost centres and sent to SAP, and any report can be emailed as a CSV on a schedule. The Nexa AI agent answers questions such as who was late on the night shift, and asks before it changes anything.

HR software for logistics & warehousing: your questions

Anything else? Talk to our team.

Nexa People is built for businesses with warehouse shifts and mobile drivers: biometric terminals at the depot, offline-capable mobile check-in with location checks, overnight shifts counted as one day, overtime from approvals, and trip and expense costs on the same record. The best fit depends on your shifts and routes, so test it against your own depots.

Nexa People counts a shift that crosses midnight as a single working day, judged against that shift's own start and end times, grace minutes and breaks. Biometric terminals push punches as they happen, and monthly night rosters can be assigned to a whole team at once.
